Summary by Persona (Grouped by Role)

👩‍⚕️ Clinicians / Therapists

  • Therapists can upload signature images or PDFs, use newly designed custom forms, and automatically mark patients present when adding visit notes if the setting is enabled.

🧑‍💼 Admins

  • Admins can design custom forms with personalized headers and footers, automate attendance marking, review claim pricing warnings, manage insurance prepayments, and retry failed bulk document imports without uploading files again.

💳 Billers / Guardians

  • Billers: Billers can create patient invoices directly from ledger balances, track ERA statuses on treatment reports, add payer-specific claim information, receive warnings about claim pricing differences, and record insurance prepayments.

  • Guardians/Patients: No direct changes.

🚀 New Feature - Upload Signature Images or PDFs

👥 Audience: Therapists

🛠️ Steps to Access: Profile > Signatures > Upload, or the credentials step of onboarding. No permissions or flags needed.

📢 What's new?: You can now upload an image or PDF of your signature, in addition to typing or drawing it. Your name and NPI still print below it on your documents.

🚀 New Feature - Redesigned Custom Form Editor with Headers and Footers

👥 Audience: Admins who build custom form templates. Everyone sees the results on their documents.

🛠️ Steps to Access: Open any custom form template. You'll see two tabs, Form Designer and Header & footer.

📢 What's new?: Building custom forms just got a lot easier. The editor is now one Form Designer tab where you add, move, resize and edit everything in one place, and it looks like the finished form while you work. There's also a new Header & footer tab for designing the top and bottom of your evaluations, plans of care, discharges and supplementals. It starts with the standard Ambiki header, so you can add your logo, your practice address or your own text and arrange things however you like. Click Preview to see what the finished document will look like. Already made a header you like? Load it into your other templates in one click. Documents you've already created won't change.

🚀 New Feature - Claim Price Mismatch Warnings

👥 Audience: Billing admins

🛠️ Steps to Access: Open a claim from Billing. No setup needed.

📢 What's new?: If a claim's price no longer matches its invoice (for example after a rate change), the claim page now shows a warning with the two amounts and how to bring them back in line, before the claim is sent.

🚀 New Feature - Create Patient Invoices from Ledger Balances

👥 Audience: Billers / Admins

🛠️ Steps to Access: Patient profile > Payments > Ledger.

📢 What's new?: Billers can now click a patient responsibility amount on a patient's Ledger tab to open a new patient invoice with the date of service, amount and description already filled in.

🚀 New Feature - ERA Status Added to Treatment Reports

👥 Audience: Billers and admins

🛠️ Steps to Access: Billing > Treatment reports.

📢 What's new?: The treatment reports list now has an ERA status column showing whether the payer's remittance has come back for each claim, and what it said.

🚀 New Feature - Additional Claim Information for Box 19

👥 Audience: Billers, Admins

🛠️ Steps to Access: Insurance company > Edit > "Additional claim information (box 19)". To set a different value for one patient, edit the patient's insurance payment method > Advanced options.

📢 What's new?: Practices can now add the box 19 information a payer requires, and it is included on every claim to that payer, both electronic and paper. A patient's insurance can use a different value when needed.

🚀 New Feature - Automatically Mark Patients Present When Adding Visit Notes

👥 Audience: Therapists and admins

🛠️ Steps to Access: Organization settings > EMR settings > Schedule > turn on "Automatically mark patients present when a visit note is added"

📢 What's new?: You can now have attendance handled for you. With this setting on, adding a visit note for an appointment automatically marks the patient as present on the schedule, so there is no extra step after writing the note. Attendance you have already marked is never changed.

🚀 New Feature - Record and Apply Insurance Prepayments

👥 Audience: Billers, Admins

🛠️ Steps to Access: Billers and admins who can create patient invoices can use it.

  1. Record the prepayment: Go to the patient's profile, then Payments, then Invoices, and click Add a prepayment. Under Invoiced to, choose the patient's insurance plan.

  2. Apply it to a visit: Open that plan's invoice for the visit and click Add payment. Under Source of funds, choose the prepayment, then enter the amount it covers as the payment.

📢 What's new?: You can now record a prepayment from an insurance plan, for example a flat payment that covers several visits, and apply it to that plan's invoices from their Add payment page.

🛠️ Fix - Retry Failed Bulk Document Imports Without Reuploading Files

👥 Audience: Admins using the bulk document import

📅 Date range affected: Since the bulk document importer was released

❗ Issue: When a bulk document import ran into a problem while adding files to patient records, there was no way to try again without uploading the whole folder a second time.

✅ Action Steps: Open the import and click Retry import. Files that were already added will not be added again.

Thank you for choosing Ambiki.
